Using E-quotes

You can manage the workflow and the purchase order approval process more efficiently with the E-quote and order management features. You can use E-quotes to configure a system online, send a copy of the quote to another person in your organization for approval, or save your quote for later use. You can now edit an E-quote once you have saved it to make changes to the quantity and/or configuration. E-quotes do not guarantee pricing or availability.

After configuring the desired system(s), click on the Save E-Quote button found at the bottom of the configuration screen and/or on the Orderform.

Depending on how your organization has it's store set up, you will not only be able to enter your standard E-quote information (such as your name, email address and E-quote name), but also all or portions of your billing and shipping address information, how you would like the system shipped and payment information once the quote is placed as an order.

Save E-quote Button

After configuring the desired system(s), click on the Add to Order Form button. From there, click on the Save E-quote button to save the configuration for up to 30 days.

To Save an E-quote:
1. Enter your full name, email address, and a name for your E-Quote. You may include optional information such as your telephone number, a quote description, and any notes or comments you want to add. And finally, you can enter any appropriate check out information to save with your E-quote.

 

   

 
2. You can forward your E-quote to management for approval or directly to your purchasing agent to submit the order.

 

 

 

 

E-quote Email Notification

Authorized purchasers can receive notification of any saved E-quotes via email and then may review, approve, or place the order online. You may enter your purchasing agent information (name and email address) while saving your E-quote,

The email notice will include the following:
1. E-quote number
2. Expiration date 
3. E-quote name
4. Email address

Retrieve E-quote Button

Authorized purchasers can click the Retrieve E-quote button to retrieve a selected E-quote to review, approve, or place the order online.

If you are at the buyer user level, you will have access to all E-quotes created for a particular store. You can sort and display your E-quote retrieval list by multiple fields, including E-Quote Buyer, E-Quote Name, E-quote Description, Date Saved, Expiration Dat, E-quote Creator, and any E-quote custom field created for your organization. If you are at the shopper user level, you will only have access to your E-quotes.

To see details of any E-quote, click on the radio button in front of the E-quote number.

2. Retrieve E-Quote. Use the new sorting features to quickly find the E-quote(s) you are looking for.
