Instructions

Outlook keeps track of recently updated files and suggests them whenever you want to attach a file to an email message.

To attach a file, follow these steps:

  1. In an email message, click the Attach File drop-down list.
  2. Select the file you wish to attach. If the file is not in the Recent Items list, you may select from the following locations:

Browse Web Locations - opens a new window when you select a web location, including OneDrive, SharePoint sites, and other online libraries that you have previously accessed.
Browse this PC - opens a File Explorer window to allow you to select files from your computer.

When you selected a file from your computer, a copy of the file is attached to the email. When you select a linked file from a web location, you may be required to set permission options and other information. To set permissions, click the drop-down arrow at the right of the attachment name and select the permission options for your recipients.

Note: If Outlook detects that your recipients cannot view the attachment, you will be prompted with a warning message directly under the file icon and name. Select Attach as copy to change the attachment from a linked file to a copy of the file. Doing so, however, will not synchronize any changes made in the file to the version from the web location.

To attach Outlook files such as email messages, calendar items, tasks, and contact, click the Attach Item drop-down list and select the file you wish to attach.
