Outlook can't sync with Gmail

Outlook behaves erratically. It works ok, then randomly decides it can’t sync with gmail. It stops working for a while, often days, and then works again. MS support have no idea. Has anybody else experienced this problem?

To set up Outlook sync for Google Workspace Gmail, follow these steps:

Enable IMAP in Gmail:

  • Go to Gmail.
  • Click on the Settings gear icon in the top right corner.
  • Select "See all settings."
  • Click on the "Forwarding and POP/IMAP" tab.
  • In the "IMAP Access" section, choose "Enable IMAP."
  • Save your changes by clicking "Save Changes."

Add your Google Workspace Gmail account to Outlook:

  • Open Outlook.
  • Click on the "File" tab.
  • Select "Add Account."
  • In the Add Account wizard, choose "Manual setup or additional server types."
  • Click "Next."
  • Select "POP or IMAP" and click "Next."
  • Fill in the following information in the Account Information dialog box:
    • Your Name: Enter your name.
    • Email Address: Provide your Google Workspace Gmail address.
    • Account Type: Choose IMAP.
    • Incoming mail server: Enter "imap.gmail.com."
    • Outgoing mail server (SMTP): Enter "smtp.gmail.com."
  • Click "More Settings."
  • In the Internet Email Settings dialog box, go to the "Outgoing Server" tab.
  • Check the "My outgoing server (SMTP) requires authentication" checkbox.
  • Select the "Use the same settings as my incoming mail server" checkbox.
  • Move to the "Advanced" tab.
  • In the "Incoming Server (IMAP)" section, set the Port to 993.
  • In the "Outgoing Server (SMTP)" section, set the Port to 587.
  • Enable the "This server requires a secure connection (SSL)" checkbox for both incoming and outgoing servers.
  • Click "OK."
  • Click "Next."
  • In the Test Account Settings dialog box, click "Test Account Settings."
  • If the test is successful, click "Close."
  • Finally, click "Finish."

Troubleshooting:

  • Ensure IMAP is enabled in Gmail.
  • Verify the correctness of the account information in Outlook.
  • Double-check port and security settings for both incoming and outgoing servers.
  • Temporarily disable antivirus software and firewall.
  • Restart Outlook and your computer.

Additional tips:

  • Customize folder synchronization by right-clicking on the Inbox folder for your Google Workspace Gmail account in Outlook and selecting "IMAP Folders."
  • Adjust how often Outlook checks for new messages by right-clicking on the Inbox folder for your Google Workspace Gmail account, selecting "Properties," and configuring settings in the "Send/Receive" tab.
  • For Google Workspace accounts managed by your organization, contact your administrator for additional sync settings.
