Using Captions for Figures and Tables in Word Document

I have a Word (2003) document in which I've created numerous Figure and Table captions.  The document is structured with Sections numbered in the 1.0, 1.1, 1.1.1, 1.1.2, 1.1.2.1, etc. format.  When I set up the caption it asks for a heading level.  However, if I try to set up another caption where I'd like to use a different heading level, it seems to reset all my captions to that same level.  For example, if I have a figure in section 1.1 which I'd like to be numbered as 1.1-1 and set it to heading level 2, and I have another Figure in Section 1.1.2 which I'd like to number 1.1.2-1 and set it to heading level 3, it seems to try to change all the captions to the level 3.

Is there a way to have the different heading levels for different captions (and why do I have to set a heading level-shouldn't it be able to automatically get that)?

Thanks!
Hilary

Hillary,

How are you using the sections in your document? Are these Word section breaks? I'm not following the section 1.1, 1.1.1 idea.

Oops, sorry about that.  I shouldn't have used the term section.  I meant the sections of my document, not Word's sections.  My report is organized with Headings (so that the table of contents can be created automatically).  So, the outline might look something like this:

1.0 Introduction

2.0 Analyses Performed

2.1 First Analyses

2.1.1  First Analyses Assumptions

2.1.1 First Analyses Results

I want to tie my figure and table numbering to the heading number.  Where I'm having a problem is for example if I were to put a Figure caption in the 2.1.1 portion of the document, I want it numbered 2.1.1-1.  I specify under Caption Numbering to include Chapter Numbering and use Heading Style 3.  The correct number shows up.  But if I then were to go to the 2.1 portion and do the same thing only specify Heading Style 2, it seems to put that in correctly but then it sometimes (I'm not sure it always does this) when I update my document with F9 sets what had been 2.1.1-1 back a level to 2.1-1 or 2.1-2 if 2.1-1 was already assigned to a figure.  I don't want the same level across the document, I want the figure to use the level for the part of the document it's in.  Is there a way to do this?  (Also, it's disconcerting to find my numbers changing unexpectedly on me.)  Sometimes when I update after changing the structure of the report, the figure numbers don't seem to correctly change to the new heading numbers.

Any thoughts?

Thanks!

Hilary

You would only need a new section for each chapter (1, 2, 3) not each heading. Heading styles change the formatting of a paragraph. Section breaks change the formatting of pages (chapters, page numbers, margins, etc.) in each section.

If you would like, send me a copy of the report and I'll fix it and include comments. I understand if you don't want to send it. I will not show the document to anyone and will delete it after I edit it.

Allan,

Thanks much for your offer.  I can't send the document to you as its distribution needs to be restricted at least for the moment.  However, let me try what you've suggested and see if it helps.  I'll let you know either way.  I have used Word a lot and am familiar with Section breaks and have a number of them already as I needed different page layouts in different areas.  I assume it won't mess things up that I have sections breaks within the chapter.  If this doesn't work, maybe I'll try to create a dummy document with the same difficulties and send that your way.

Thanks again!

Hilary

If you require Chapters with associated numbers, you will need section breaks for each chapter. Then Word will be able to assign the chapter number to the caption.

Are you able to do this?

Thanks!  Do you mean I would need a section break before each new heading (at every level)?  Does this mean that when I'm specifying numbering on a caption, it applies to that section only by default?  It doesn't ask that.

For example,

1.0 Introduction

2.0 Analyses Performed

2.1 First Analyses

2.1.1  First Analyses Assumptions

2.1.1 First Analyses Results

This would require 5 section breaks?  Is each of these what you mean by a chapter?  I guess I would only have to put a new section before each portion that actually has an inserted figure and table?  (I ask this because if I have to do them all, I'm looking at adding around 25 sections.  I wonder why Word can keep the Heading numbering straight, but can't keep the caption numbering which seems tied to the heading numbering straight?  This experience is bringing back dim recollections of caption problems with Word in my distant past.:)

Thanks!

Allan,

I tried the section thing and selected all and updated, but it didn't seem to fix the problem.  I've created a document by deleting most of the text and figures but leaving the basic structure and captions.  It shows what's going on.  Could I send this to you?  I don't see a way to attach to this message.

Thanks,
Hilary
