Archiving

Our network server is getting too full of people's stuff, most of it presumably word documents and pdf files related to cases or projects that were completed long ago. We obviously can burn any old stuff we still want to keep to CDs, but apart from the problem of keeping the CDs reasonably handy, how will we know what the heck is where? Is there any software recommended for archiving information and files off-line but in a way that the on-line user (1) can become aware of the existence off-line of something he/she might want to look at and (2) figure out where it is, e.g., "archive #15 cd #5."
