You cannot archive the calendar folder. Archiving is not for Outlook's folders. It's for old emails & contacts and anything you else have added and don't want to see every time you open Outlook. Backup Outlook and choose the Calendar as one of the folders to be backed up to save a copy. Backup is available for download at the Office site.

To Mary G.

Thanks for your reply.

Still, something must have been changed in the functionality of Outlook because, when I was using Outlook 97 running under Windows 98, I did archive calendar items every 6 months. The archived items were saved in the format of a separate PST file, which I could easily open and browse in Outlook when I needed for some reason to review old appointments. The major benefit was that my current calendar was purged from old items, which contributed to reduce the overall size of the personal folders file.

In Outlook 2002 (XP) help, backup or delete items using autoarchive, it says, to specify autoarchive settings for individual folder:

'In the Folder List, right-click the folder you want to specify settings for, and then click Properties on the shortcut menu.

Click the AutoArchive tab.

Specify whether you want to archive this folder and if so, whether to use the default AutoArchive settings or your own settings. For Help on an option, click the question mark , and then click the option.

To archive to a file other than the default one, specify a different file name in the Move old items to box. The next time AutoArchive runs on this folder, Outlook will automatically create the new archive file for items in this folder.'

This should work for any folder under personal folders. Right clicking on the calendar folder, properties, does give the autoarchive tab, with options to clear out items older than some specific time.

So I think that it ought to work? However, I don't use the calendar or autoarchive, so will bow to Mary's superior knowledge, if she is sure that what she said is right.

Thanks for your contribution. I'll try what you're suggesting (using AutoArchive).

Still I'm convinced that a MANUAL archiving of calendar items should be possible. Evidence of this statement is provided by the fact Outlook 2002 (XP) contains a File/Archive menu which offers the possibility to either AutoArchive items or to archive them manually. This is this manual option which doesn't work properly - at least on my PC - for calendar items as explained in my original posting.

Yes, I have no problem doing that.

In help under archive items manually. It says:

1. On the File menu, click Archive.
2. Specify whether to archive all folders using their AutoArchive settings (that is, either the default settings, or per-folder settings you specified for individual folders) or whether to archive an individual folder using the options you specify in this dialog box. For Help on an option, click the question mark , and then click the option.
Note   To archive to a file other than the default one, specify a different file name in the Archive file box. Outlook automatically creates another archive file for items in the selected folder.

After step 1 a box opens with the options of archiving a single folder or all folders, archive older than some specified date, specify path, etc.

When I did that and selected calendar it created the file archive.pst in the specified path. As I don't use Calendar, I could not check whether the archived items had been deleted.

To JRosenfeld

I understand the procedure you described in your previous posting. I used it several times. The issue I am facing is that the newly created archive.pst file does not contain the calendar items I want to archive. The concerned items are neither copied to the archive file nor deleted from Outlook. As stated in a previous message, I was able to archive old calendar items with Outlook 97/Windows 98; I cannot do that with Outlook XP/Windows XP. There must be something wrong.

In the mean time, I tested the AutoArchive function. Result is negative.

Anyway, I thank you for your contribution and take the opportunity to wish you a happy new year.

I just found a workaround to the archiving problem for Calendar items.

The method is manual but easy to use.

You have to create manually an archive folder (pst file) with the Outlook File Management function and move manually Calendar items from the current Calendar folder to the archive folder that you have created. Moving items is quick and easy when you select to display items in table form, which can be done with the Define view command in the view menu. Items in Table form can easily be sorted by date and selected in groups with the Shift or the Control key.

So the workaround I propose does not make use of the Archive function of Outlook XP.

I think this concludes this thread.
